Overview

We remove 80% of your ‘end of tenancy’ admin whilst simultaneously delighting tenants with a transparent, simple, any-time online service. Easy to use & fully customizable our online app will transform your agency operations & delight consumers & staff alike. We expect agents & tenants to be equal advocates. Whilst our primary concern is for the agents who are our clients & we know they will love the ease of the system plus how much time & stress we remove from the day to day operation; however, tenants have accepted for far too long that the end of the tenancy process is murky, messy & stressful - once they see what this does they will be huge advocates of you & your agency. Testing to date has seen tenants give the platform a 90% satisfaction rating with 83% giving the deduction negotiation process alone a rating of ‘fair & transparent’- when was the last time you had a tenant say that about deductions? Never….?

Product Summary

We are a fully responsive web based app, with progressive web app available - i.e. you can download an icon to your desktop and launch the platform this way rather than by visiting a website. Our product is an automated end of tenancy platform which kicks in at the point of notice being given or received and guiding users, landlords and tenants through to the deposit return.

Problems we solve for agents

We remove around 80% of admin related to the end of a tenancy, most of which has zero monetary value to agents and is just chasing people. Our platform streamlines processes and ensures compliance. Our clients have a dashboard of all concluding tenancies, giving easy at a glance updates and we deliver transparency to tenants in what is often a fraught and stressful time. All users, tenants and landlords can perform actions from any device, anywhere in the world. Built by agents, for agents.

BEST deposit release scheme EVER!

I LOVE IT – for the first time in 5 years I am confidently on top of all my checkouts and apart from a couple of disputes going through to TDS I only have 2 checkouts outstanding! 2!!!

It’s taken me a good 2 months to settle in but I am in the routine now of checking it first thing every morning and the last hour of work now as well and that’s without including the prompts as well.

Its been a breeze to work with and Carla and the team have been with us every step of the way offering help and guidance whenever needed.

We have a very varied team on terms of age ranging from 21-64 and every member has settled in perfectly using Depositary.

I would endorse this to any company wanting to streamline their Deposit release process.

Ask your Property Managers what do they hate the most about their job - and odds on its dealing with deposits. For a small amount of money per month you can make their lives so much better , with this modern, slick and an easy to use tool. Use it with the TDS and Inventoryhive and you have an end of tenancy process which is destined to be pain free . Giving you more time to grow your business.

I cannot express how incredible these guys are, especially Carla Burnett. We started looking to use the platform late last year, and I/We were so impressed with the platform and the team, I decided to move over all our tenancy deposits from one supplier to another, just so our company could use The Depositary. Nothing is too much of an ask, and Carla is such a credit to the company. The platform is so easy to navigate and saves me & my team hours worth of admin time, and saves human error as well with deposits getting "forgotten" about. I have only been using the platform for a short while, but the feedback from our clients already has been so positive. It was a great decision to make. The guys keep us updated, and Carla has gone the extra mile to make us feel so valued. So thank you :)

A life Saver

Your review

I had a member of staff leave just before student changeover season this year. The depositary gave me a structured platform to process the deposit release and move out process which was invaluable and allowed me to get through this peak workload with our reduced numbers.
Tenants and landlords seem to also find the process quite intuitive and has cut down the number of emails and calls relating to deposit deductions all round.

Revolutionary!

Depositary has been revolutionary for us as an agent. We can finally see all of our check-outs in one place, be well equipped and prepared for them, and undertake deductions promptly. Our TDS adjudication referrals has decreased as everything is in one place, and if we ever do need to take to TDS it is with a click of a button! Has saved us so much time and is so detailed. Integrations

We are integrated with both TDS Insured and Custodial schemes. 

We have a partner integration with Please Connect Me, a Utility Switching Service as it offers a no cost bill closing service on concluding tenancies.
 
Our integrations with Inventory Base, Inventory Hive and No Letting Go also knock another chunk of admin time off each tenancy being processed on the platform by automatically pulling through checkout reports, meter readings and photos along with pre-populating the deductions stage with issues marked as tenant liability.

Pricing

The Depositary pricing is based on managed portfolio size only and has no set up fees. We can get agents up and running by video call with the set up and training usually taking no longer than one hour. Subscription starts at £75 plus VAT per month.

ROI

We aim to save an agent around 3 admin hours per tenancy, which applying ‘living wage’ costs around £27 with an estimated cost of around £3, a substantial ROI before applying the perceived value tenants and landlords will see in your business by adopting such a system.

Onboarding

Setup / Onboarding

One hour! To date, we have been able to manage the onboarding process via video calls. We usually carry out a demo with key staff members, which takes between 30 minutes to an hour depending on how in depth people would like to go during that first call. We can then book in a set up call, usually within a week, where we configure the account to match your internal processes and carry out the training. Clients add their own branches and users and can tweak the configuration at any time. We have around 70 email templates the system sends out and we recommend people start by reviewing a key number of these then work their way through the rest.

Training & Support

Our training is carried out by video call, where we share screens and do an end to end run through of the platform. These can be recorded and sent after the session so staff can refer back if needed. There is no cost for the initial training when a new client signs up with us. For larger operations we can offer on-site training or multiple sessions but these will be charged based on the size of the team, location of the office(s) and the time required - these will be quoted on an individual basis. 

Our support is included in the monthly subscription cost. Most support is carried out by email but we're always happy to call clients if they'd rather have a telephone conversation and occasionally we'll recommend setting up a 10 minute video call so we can share screens.

The Depository system allows us to significantly reduce the amount of time spent ending any tenancy. Simply put, the intuitive process assigns the outstanding tasks to the relevant stakeholders (Tenant, Landlord, agent) throughout and saves calls and e-mails into and out of the office asking for The feedback we have had so far is that the system clearly explains and manages expectations by explaining to each party the deposit legislation really well and that all parties positions are being taken into account. There is far less accusations being levelled at us as being for or against either party. That in itself is a really creditable benefit. Our lettings team have got their time and sanity back at long last(!) and our own credibility as a fair minded and technology minded agent has been further enhanced. A great platform for busy letting agents.
